How to Use The Termination Checklist

A Termination Checklist helps employers carry out an employee’s departure in a structured, compliant and low risk way. It guides you through each step, making sure nothing is missed and reducing the chances of disputes later.

What you need to know:

  1. Start the checklist before any meeting takes place Open the Termination Checklist and review each item. This gives you a full picture of what needs to be prepared, including paperwork, final pay, access removal and return of property.
  2. Work through each section in order The checklist is designed to follow the normal stages of a termination. Start with the decision and documentation, then move into communication, handover and finalisation tasks. Mark items as complete as you go.
  3. Record key notes If something requires follow up or you have spoken with the employee, add notes directly into the checklist. This creates a clear record and helps anyone else involved understand what has occurred.
  4. Attach supporting documents Upload letters, evidence of returned equipment, final payslips, or any relevant paperwork. Keeping everything in one place supports compliance and makes future auditing simple.
  5. Use the checklist as your audit trail Once all items are completed, the checklist becomes your record that the termination was handled correctly, fairly and in line with Australian workplace laws.
  6. Store it in the employee’s HR Command file The completed Termination Checklist should be kept with the employee’s employment documents. This ensures your files remain complete if questions arise later, or if a regulator asks for evidence.
